Conference transportation is a logistics problem, not a car problem
Ask an event organiser what keeps them awake the week before a conference and the answer is rarely the keynote. It is the 140 delegates landing on 31 different flights, the sponsor who wants a quiet car from the airport, and the speaker whose session was moved forward by an hour. Meetings, incentives, conferences and exhibitions, the industry's MICE sector, depend on ground transport working invisibly, in the background.
Enroutz.ca handles conference transportation from its Toronto desk. In Toronto, the GTA and Ontario the vehicles and chauffeurs are Enroutz.ca's own. For programmes in the rest of Canada, the USA, Europe and the Middle East, a vetted, licensed and commercially insured local chauffeur partner delivers the rides, and the Enroutz.ca desk books, confirms and invoices them. An organiser running a congress in Toronto in June and a leadership retreat in Dubai in November deals with the same desk both times.
This page explains how a MICE programme is built, what vehicle mix suits which group size, how Toronto's convention venues work, and what to settle with us before delegates fly. For single-traveller needs, the corporate chauffeur service page is the better starting point, and the services hub lists everything else.
What is MICE ground transportation?

MICE ground transportation is the planned movement of delegates, speakers and guests for meetings, incentives, conferences and exhibitions: airport arrivals and departures, hotel-to-venue shuttles, excursions and VIP moves. Enroutz.ca books, confirms and invoices all of it through one desk, with flight tracking on every airport pickup.
The word "planned" is the important one. A conference with a good transport plan is a conference where the opening session starts on time and nobody remembers why.
The four jobs a conference transport plan must do
- Get people in. Delegates arrive across two or three days, often through Pearson Terminal 1 and Terminal 3, on both domestic and international flights.
- Move people daily. Hotel to venue, venue to dinner, dinner back to hotel.
- Move special people carefully. Speakers, chairs, sponsors, board members and government guests.
- Get people out. Departures cluster on the last afternoon and the morning after the gala, which is the second-busiest moment.

Each job has a different shape and a different vehicle. Treat them separately in the plan, then join them in the schedule.
Delegate airport arrivals at Toronto Pearson
Toronto Pearson is about 27 km from downtown and usually a 30 to 50 minute drive, depending on the hour and on the Highway 427, Gardiner Expressway and 401 corridors. The airport strip also hosts its own venues, and the Pearson airport limo page explains terminals, pickup procedure and drive times to the surrounding cities.

On a chauffeured arrival, the chauffeur tracks the flight, so a delay moves the pickup and an early landing does not leave a delegate stranded. Free waiting after landing is 60 minutes on international arrivals and 30 minutes on domestic arrivals, which allows for immigration, baggage and customs. Delegates arriving from abroad by air generally need an eTA or a visa; the Government of Canada's eTA page is the authority, and organisers should include it in the joining instructions.
For VIP guests, a name board inside arrivals can be added, and the board can carry an alias so a delegate's name is not displayed to a crowd. That is covered on the meet and greet service page. For large arrival days, ask the desk to group delegates by flight window and vehicle class, so a Sprinter or a mini-coach is not sent for a single traveller.
Hotel-to-venue shuttles
Shuttles are where a conference programme earns its keep, and where it can fail. A hotel-to-venue loop has to match session start times, not hotel checkout times. In the half hour before the opening session, demand is intense and then drops to nothing.

Think in waves: a first wave for the earliest session, a second for the main opening, a final wave for latecomers. Between waves, vehicles reposition. In the evening, shuttles must fit around the end time of the last session and the dinner schedule, which are often different.
If your hotels are within a short walk of the venue, a shuttle may not be needed at all, and we will say so. Downtown Toronto is compact, but weather matters: a January delegate in a business suit does not want a 15 minute walk in wind and snow.
Toronto's convention venues and how transport works around them
Destination Toronto, the city's tourism and convention organisation, lists four main convention venues: the Metro Toronto Convention Centre, Exhibition Place, the Toronto Congress Centre and the International Centre. See its Meetings and Events section for planning services. The Metro Toronto Convention Centre, at mtccc.com, describes a North Building and a South Building, and some events use both, so the drop-off point depends on which building your event occupies.
- Metro Toronto Convention Centre: downtown, near Union Station and many hotels. North and South buildings.
- Enercare Centre: Exhibition Place, west of downtown on the lakefront. Used for large shows.
- Toronto Congress Centre: near the airport, popular with trade shows.
- The International Centre: Mississauga, next to Pearson.
Venue rules about loading zones and vehicle access vary by event and by day. The organiser's venue contact knows the current arrangements, and we plan the drop-off with them. If you are building an exhibition programme, trade show transportation covers booth crews and show-day traffic in more detail.
Choosing the right vehicle for a group
| Group size | Best vehicle | Notes |
|---|---|---|
| 1 to 3 delegates | Executive Sedan or First Class Sedan | Up to 3 passengers, 2 large and 2 cabin bags |
| 3 to 6 delegates with luggage | Luxury SUV | Up to 6 passengers, 5 to 6 large bags |
| 7 to 12 delegates | Executive Sprinter | Up to 12 passengers, 12 bags |
| 20 to 56 delegates | Mini-coach or coach | On request |
| Principal or chair | First Class Sedan, Maybach or Rolls-Royce | Maybach and Rolls-Royce on request, availability confirmed at booking |
All classes are "or similar", with the exact model confirmed at booking. Most vehicles carry Wi-Fi, water and phone chargers, though not all. If delegates arrive with sponsor materials or display equipment, flag it when you book, because that changes the vehicle choice. The group transportation page covers Sprinter and mini-coach details.
Speakers, VIPs and sensitive movements
Speakers are the people most affected by a delayed car. A keynote speaker who arrives with eleven minutes to spare will not be at their best. Plan the speaker's route to the loading area, agree who meets them, and treat the vehicle as part of the greenroom.
For executives, performers or political guests who need discretion, chauffeurs do not photograph clients or post about trips, and NDAs are signed on request. The VIP chauffeur page covers that service. If a guest travels with a security team, read executive protection transport: Enroutz.ca is a chauffeur service, not a security company, and works alongside the client's own team.
Incentive trips and excursions
Incentive travel needs a different tone. The programme is a reward, so the ride is part of the experience. Common requests in the Toronto area include a day at Niagara Falls, an evening in wine country and a weekend in Muskoka. Private tours with a driver and city to city car service give distances and times for each. Niagara Falls is about 130 km from downtown Toronto, usually 1.5 to 2 hours by road.
Excursion timing should be generous. Cottage-country Fridays and the Queen Elizabeth Way on summer weekends are where schedules are lost.
Programmes outside Toronto
Congresses move around the world, and most large ones are in cities with a dedicated page here. The trade shows hub and events hub list the larger ones, and the regional pages cover Canada, the USA, Europe and the Middle East. For US congresses, domestic legs are handled by US-licensed partners, since Canadian vehicles cannot do point-to-point work within the USA. A transfer that crosses the border from Toronto is operated from Toronto.
For a multi-country incentive trip, enter any pickup worldwide in the booker and the desk confirms a fixed quote.
What to settle before delegates fly
| Question | Why it matters |
|---|---|
| How many delegates, on how many flights? | Sizes vehicles and waves |
| Which hotels, which venue entrance? | Sets drop-off points |
| Who are the VIPs and what privacy do they need? | Alias boards, NDAs, second cars |
| Who is the single contact on your side? | One thread for changes |
| What is the cancellation deadline for this event? | Large events may carry a deadline other than the standard one, shown on your confirmation |
| Do any guests need child seats? | Child, toddler and booster seats on request at booking |
Comparing delegate transport options honestly
| Option | Time | Cost note | Suits |
|---|---|---|---|
| Public transit | Predictable on rail, slower with bags | Lowest | Light travellers on simple routes |
| Rideshare | Variable at peak | Surge-priced when demand spikes | Individual delegates making their own way |
| Taxi | Variable | Metered | Short, unplanned hops |
| Hotel shuttle | Fixed timetable | Often included by the hotel | Delegates staying at one property |
| Chartered coach | Fixed timetable | Per vehicle | Large groups moving together |
| Chauffeured transfer via Enroutz.ca | Matched to flight and session times | Fixed fare via booker | VIPs, small groups, tight schedules |
Sometimes the lowest-cost option is the right one. For an event that is a five minute walk from the hotels, a shuttle is wasted money. For an airport arrival day with a hundred delegates, a mix works best: coaches for the main wave, sedans and SUVs for the people who cannot wait.
How booking works for organisers
An organiser can book through the online booker or through a corporate account with monthly invoicing. The booker shows the exact all-in fare for each ride before confirmation, so budget holders see fixed figures. Flight tracking is on every airport pickup, and the 24-hour desk is the one point of contact. If your organisation also uses the desk for everyday travel, see corporate chauffeur service.
Cancellations follow the standard schedule, measured from the scheduled pickup time: more than 72 hours' notice carries no charge, 72 hours or less 10%, 48 hours or less 50%, and 24 hours or less or a no-show 100%. For large events and conventions the deadline may differ, and the confirmation states it.

Frequently asked questions
Can Enroutz.ca handle delegate transfers for a large conference?
Yes. Delegates can be booked in groups by flight window, with sedans, SUVs and Sprinters for small groups and mini-coaches or coaches of 20 to 56 seats on request. The Toronto desk coordinates arrivals, shuttles and departures under one booking process.
How are delegates met at Toronto Pearson?
The chauffeur tracks each flight and meets the delegate as arranged on the confirmation. A name board inside arrivals is available as an add-on, with an alias on the board if privacy matters. Free waiting is 60 minutes on international arrivals and 30 minutes on domestic.
Can you run hotel-to-venue shuttles?
Yes. The loops are planned around session times, not hotel checkout times. If your hotels are a short walk from the venue, we will tell you when a shuttle is unnecessary.
Do you serve conferences outside Toronto?
Yes. In the rest of Canada, the USA, Europe and the Middle East, vetted, licensed and commercially insured local chauffeur partners deliver the rides, and the Enroutz.ca desk books, confirms and invoices them.
Can speakers and VIPs be moved discreetly?
Yes. Chauffeurs do not photograph guests or post about trips, and NDAs are signed on request.
What vehicle do I need for 12 delegates?
An Executive Sprinter seats up to 12 passengers and 12 bags. For more than 12, mini-coaches and coaches seat 20 to 56 on request.
What is the cancellation policy for conferences?
The standard schedule runs from more than 72 hours' notice with no charge to 100% for 24 hours or less or a no-show. For large events and conventions the deadline may differ, and the confirmation states it.
Can we get one invoice for the whole programme?
Yes. Corporate accounts offer monthly invoicing, and partner-delivered rides abroad are invoiced by the Enroutz.ca desk, so one invoice covers the programme.
