Airport meet and greet service: the difference a person makes

Arriving at an airport you do not know is a small ordeal even for experienced travellers. You have been in a seat for eight hours, you have cleared immigration, you are carrying bags and you do not quite know which exit to take. A meet and greet service replaces that uncertainty with a person who is waiting for you, knows your name and walks beside you to the car.

Enroutz.ca offers a name-board meet and greet inside arrivals as an add-on to an airport transfer. It is available at Toronto Pearson, where Enroutz.ca vehicles and chauffeurs operate from the Toronto desk, and at partner airports abroad, where a vetted, licensed and commercially insured local chauffeur partner provides it and the Enroutz.ca desk books, confirms and invoices it. An alias can appear on the board for privacy on request.

This page explains what the service includes, how it works at Pearson step by step, what to expect on arrival from abroad, how it compares with a standard pickup, and when you do not need it. To add it to a transfer, use the online booker; it shows the exact fare for your pickup and vehicle before you pay.

What is an airport meet and greet?

Suitcases ready for a trip
Suitcases ready for a trip

An airport meet and greet is a chauffeur service in which your driver meets you inside the arrivals area holding a name board, helps with luggage and escorts you to the vehicle. Enroutz.ca adds it to any airport transfer, with flight tracking included and an alias name board available for privacy.

The distinction is simple. A standard pickup tells you where the car is. A meet and greet puts a chauffeur where you are, in the hall you walk into, so the first face you see after the baggage claim is the right one.

What the service includes

  • Flight tracking. Every airport pickup is tracked, with or without the meet and greet, so the chauffeur works from your actual landing time.
  • Name board. The chauffeur waits inside arrivals with a board showing your name or an alias you have chosen.
  • Luggage help. The chauffeur takes the trolley or the bags and loads the vehicle.
  • Escort to the vehicle. You are accompanied to the car rather than given directions to it.
  • Free waiting. 60 minutes after landing on international arrivals, 30 minutes domestic. Other pickups carry 15 minutes.
  • Vehicle of your choice. Executive Sedan, First Class Sedan, Luxury SUV, Executive Sprinter, or a larger vehicle on request, all "or similar", with the exact model confirmed at booking.

Most vehicles, though not every one, carry Wi-Fi, water and phone chargers. Seats for children of any age, from toddler to booster, can be requested at booking, which helps when you are arriving with little ones after a long flight.

Meet and greet at Toronto Pearson, step by step

Toronto Pearson has two passenger terminals, Terminal 1 and Terminal 3. The airport is in Mississauga, about 27 km from downtown Toronto. The drive to downtown is usually 30 to 50 minutes, depending on the hour.

  1. Booking. Choose the airport pickup in the booker, add the meet and greet and, if you want one, an alias for the board.
  2. Before you fly. The confirmation sets out the arrangements. Read it before you leave, particularly the meeting point.
  3. While you fly. The chauffeur tracks your flight. A delay moves the pickup; an early arrival does not leave you waiting.
  4. On landing. International passengers go through border control, collect bags and clear customs. Domestic passengers go directly to baggage.
  5. In arrivals. The chauffeur is waiting with the name board, as arranged on the confirmation.
  6. To the vehicle. The chauffeur helps with the bags and takes you to the car.
  7. To your destination. Hotel, office or home, with the fare you saw in the booker.

Airport authorities set the rules for where drivers may stand, and those rules change. We plan the pickup around whatever the airport currently permits and put the exact arrangements on your confirmation.

For more on terminals, doors and drive times from Pearson, see the Pearson airport limo page.

Arriving from abroad: border formalities before the board

Most delay on an international arrival is not caused by transport. It is caused by the border. Understanding the sequence helps you set expectations for the chauffeur and for whoever is waiting for you.

  • Entry authorisation. Most visa-exempt visitors arriving by air need an electronic travel authorization (eTA). The Government of Canada's eTA page is the official source and states who needs one and what it costs. Check it before you buy a ticket.
  • Declaration. Travellers arriving internationally make a customs and immigration declaration. At Pearson this is done at a primary inspection kiosk or eGate. In 2022 the Canada Border Services Agency introduced an optional advance declaration that can be submitted up to 72 hours before arrival, announced on its news release. Check the current CBSA guidance before you travel, because the process and the app may have changed since.
  • Baggage and customs. After border control you collect your bags and pass a customs check, then enter the arrivals area.

Queues vary a great deal by time of day, and you cannot predict them. That is the reason flight tracking and a free waiting window of 60 minutes after landing exist on international arrivals. For a fuller guide to arriving from abroad, see Toronto airport transfer and travelling to Toronto.

Using an alias for privacy

A name board in a public hall tells everyone in sight who you are. For executives, public figures, families with security concerns or anyone who simply prefers not to be named, an alias works better. The booking is made under your real details, and the board shows a name you choose: an assistant's initial, a company code, a made-up name.

The chauffeur knows the alias and knows who to expect. The same discretion applies throughout: chauffeurs do not photograph clients or post about trips, and NDAs are signed on request. For higher-profile arrivals, read VIP chauffeur.

If you have travelled to Toronto many times, you are travelling light and you know the airport, a standard pickup is enough. The meet and greet earns its place on a first visit, after a long-haul flight, with children or older relatives, with a lot of luggage, or when privacy matters. We would rather you book the right level of service than the largest one. The chauffeur versus rideshare page gives the wider comparison.

Who benefits most

  • First-time visitors who do not know the terminal layout.
  • Families with children, strollers, car seats and bags.
  • Older travellers who prefer a person to a text message.
  • Business travellers who have just landed and want to start working in the car.
  • VIPs and executives who need an alias and a quiet exit.
  • Groups and delegations arriving on several flights, see meetings, incentives and conferences.
  • People arriving to attend a wedding or a funeral, who do not want to arrive flustered.

If you require wheelchair assistance, arrange it with your airline and tell the desk when you book, so the pickup plan fits the assistance timing.

Meet and greet at airports outside Toronto

The service works the same way abroad, delivered by a partner, but local airport rules differ. Some airports allow drivers to wait inside the arrivals hall, some only at a designated meeting point, and some change their rules from year to year. We always tell you on the confirmation where your chauffeur will be. Airport pages are listed in the airports hub; the regional pages cover Canada, the USA, Europe and the Middle East. Partner vetting is described on the worldwide chauffeur network page.

Within the USA, US-licensed partners do the driving, because Canadian vehicles cannot work domestic point-to-point. Rides from Toronto across the border to the USA are run from Toronto, and details are on cross-border car service.

If you are flying to or from a private aircraft terminal, the arrangement is different, and you should read private aviation.

What happens if something goes wrong

  • Delayed flight. The pickup moves with the flight, and free waiting starts from landing.
  • Missed connection or rebooking. Tell the desk, which is open 24 hours. Rebookings are handled as quickly as the schedule allows, and the cancellation schedule applies as set out on your confirmation.
  • Lost bags. Report them to the airline first. The chauffeur can wait within the free window, and the desk can advise on a later transfer if you need one.
  • You cannot find the chauffeur. Contact the 24-hour desk straight away and it will guide you to the right spot.

For cancellations, the schedule is measured from the scheduled pickup time: more than 72 hours' notice carries no charge, 72 hours or less 10%, 48 hours or less 50%, and 24 hours or less or a no-show 100%. A different deadline may apply to large events and conventions; it is stated on the confirmation.

Sending a meet and greet for someone else

Many bookings are made by a third party: an assistant arranging a boss's arrival, a parent welcoming a student, a hotel arranging a guest's transfer. Provide the traveller's name, flight number, mobile number and any alias. A corporate account, described on corporate chauffeur service, can handle regular bookings. The person being met receives the confirmation with the arrangements, and so does the person who booked.

Put the traveller's name exactly as it appears on their passport. That helps the chauffeur recognise the right person when names are spelled differently in different alphabets.

After the meet and greet: your first hours in Toronto

A well-run arrival continues past the car park. The chauffeur can take you to your hotel, to the office, or, if you prefer, on an hourly basis to start your trip; see hourly chauffeur. Frequently asked questions

What is a meet and greet at the airport?

It is a service in which your chauffeur waits inside the arrivals area with a name board, helps with your luggage and escorts you to the vehicle. It is an add-on to an Enroutz.ca airport transfer.

Can the name board show a different name?

Yes. An alias can be used on the board for privacy on request. Tell the desk which alias to use and give the chauffeur your real details through the booking.

Where will my chauffeur meet me at Toronto Pearson?

The confirmation states the arrangements. Airport rules on where drivers may wait can change, so we plan around what Pearson currently permits and tell you exactly where to look. Toronto Pearson has two terminals, Terminal 1 and Terminal 3.

How long will the chauffeur wait?

Free waiting is 60 minutes after landing on international arrivals, 30 minutes on domestic arrivals and 15 minutes on other pickups. Flight tracking means the clock starts at your actual landing time.

Does the meet and greet work at airports outside Canada?

Yes, through vetted, licensed and commercially insured local chauffeur partners, booked and invoiced by the Enroutz.ca desk. Local airport rules decide where the chauffeur waits, and your confirmation says where.

Do I need an eTA to arrive in Canada?

Most visa-exempt visitors arriving by air need one, with exceptions that include US citizens. The Government of Canada's eTA page is the official source and you should check it before you travel.

Can I get help with children's car seats?

Yes. Request a toddler, child or booster seat when you book and tell the desk the age and weight of each child.

Is a meet and greet necessary?

No. A standard pickup is enough for confident travellers who know the airport. The meet and greet is most useful on first visits, after long flights, with children or older relatives, or when you need privacy.

Will the chauffeur tell anyone about my arrival?

No. No photographs of clients and no posts about trips: that is the rule for every chauffeur, and NDAs are signed on request.
